    Document control from award to installation 

    The Document Control Specialist creates effective processes to ensure NKT Document Control is conducted in a timely manner and is accurately recorded. This role is looked upon for effective processing and maintaining the Electronic Document control System, to support the Document Control processes. 

    In this role, you will be responsible for project and tender document processes (daily maintenance, tracking, workflow, document formatting/editing, closure) to ensure adherence to company and regulatory requirements and best practices as well as manage EDMS (Electronic Document Management Systems). Project Document Control is responsible for all document exchanges between NKT, Customer/Client and Subcontractors. The areas of responsibility include but not limited to the following:   

     

    Main Tasks and Responsibilities: 

    • Monitor and manage the document- and communication flow (review, approval, filing and transmittal) according to Document Lists and report status to Project/Tender Manager. 
    • Assure that all customer related documentation is approved or accepted by the project before submission. 
    • Ensure that incoming documentation is handled and distributed according to the agreed process and control document ID, content and punctuality of the incoming documentation. 
    • Control and monitor official project correspondence with external partners.  
    • Responsible for continuous improvement on document management processes and procedures. 
    • Evaluates existing document management systems and procedures to determine current effectiveness and efficiency; identifies and recommends improvements. 
    • Align and work with different departments and managers  
    • Responsible for setting up the agreed document management systems and processes in projects / tenders in coordination with the client, project / tender teams.  
    • Accountable for the stylistic aspect of a document including grammar, spelling and layout of text documents.  
    • In charge of the preparation and submittal of the final documentation packages as per contract or tender requirements.  

     

    Skilled Document Control Specialist with collaborative mindset 

     To succeed in this role you must be a structured person with a strong attention to detail and   a robust organizational sense to meet deadlines. You have a strong customer-oriented mindset and working focused on achieving high customer satisfaction.  

     To thrive in the role you must flourish in a multi-cultural environment and work well independently with a strong team work mindset. In addition to the above you possess excellent verbal as well as written communication skills. 

     

    Preferred Qualifications: 

    • Academic degree preferable within business administration, industrial clerk or technical background. 
    • Experience with M-Files, SharePoint, Adobe Acrobat DC Pro, and EDMS (Electronic Document Management Systems) 
    • Swedish and or French speaker is a plus.
