    Are you our new colleague? We are looking for a Document Controller to our Team in Karlskrona. 

    As a Document Controller you are responsible that the project and tender documentation is prepared and delivered in due quality and time according to the requirements set by NKT and the contract/ tender requirements. This includes the continuous optimization & development of document management systems and processes. The document controller is responsible for all document exchanges between NKT, Customer and Subcontractors and for ensuring that there are consistent document management routines and processes in place.

    The areas of responsibility include among others:

    • Being the owner of the documentation process and documentation control inside the tender/s & project/s.
    • Being responsible that contractual requirements regarding document standards are met.
    • Being responsible for setting up the agreed document management systems and processes in projects / tenders in co-ordination with the client, project / tender teams.
    • Being responsible for following up and monitor the project/ tender documentation and support the project / tender works.
    • Being responsible for the stylistic aspect of a document and layout of text documents in accordance with the established document templates.
    • Being responsible to submit and prepare the final documentation packages as per contract or tender requirements.

    The preferred candidate has the following qualifications:

    You have a structured approach to your work and come across as service minded. It is important that you interact with people at all levels in a positive and constructive way. Moreover, you can manage several tasks at the same time, meet tight deadlines and adjust flexibly to changing priorities.

    • Academic degree within business administration, industrial/technical background or other education or experience which the employer assesses as relevant. Personal commitment is of great value in this role.   
    • Experience with document control area and projects
    • Basic knowledge in project management
    • Very good English proficiency, both verbally and in written language – Swedish skills is a plus.
    • IT affinity especially in the field of Document Management Systems (preferable M-Files, SharePoint, Teams, Adobe Acrobat DC Pro)
    • Excellent command of the MS office package
    • Being well structured and flexible
    • Good team player, able to work across the organization and having an open mindset

    As a project team member, you will have a functional reporting line towards the respective project and tender managers. The disciplinary reporting line is towards the “Document Control Manager”. As a document controller you will work in close cooperation with different project and tender teams. A key capability is therefore that you can easily integrate in different teams and adapt to an agile organization.

    As a Document Controller you are the gatekeeper who only allow correct documents to be published and used. You are supportive and direct to ensure that users work only with up-to-date, reliable, checked, formally approved documents, And as an independent auditor, you coordinate protocols for producing and delivering documents and check formality before documents are officially published. 

    In this role you keep people safe and protects the organization against negative consequences that incorrect documentation can cause and will be an important key player and interface across the different functions. A high personal commitment, being capable to work towards deadlines also under high time pressure and adjust to moving priorities are key competences. As further skills you should have an eye for detail, show a high degree of accuracy in your works and enjoy working with documentation.
